What you'll do

Mothium designs, manufactures and certifies vehicles in Europe, so the administrative side is not a small company's paperwork with a different logo on it. Supplier invoices from several countries. Incoming goods that have to match a purchase order and a bill of materials. Public funding with its own reporting calendar, and an auditable trail behind all of it.

The job is to make that predictable. Today the founding team spends time on administration that belongs on product and customers. You take it over, and you turn it into a process that does not depend on anyone remembering: invoicing that goes out on a date, suppliers paid on the terms that were agreed, numbers that are current on the day they are asked for.

Manufacturing ties administration to physical reality: what was ordered, what actually arrived, what went into the unit that left the workshop. When the paperwork and the warehouse disagree, the company plans on fiction. Keeping those two in agreement is yours, working closely with purchasing and with the assembly line.

Responsibilities

  • Run day-to-day invoicing, supplier administration and treasury, on a calendar rather than on demand.
  • Keep contracts, insurance and corporate documentation in order, including vehicles in operation.
  • Manage public funding and project reporting, with the evidence ready before it is asked for.
  • Coordinate HR administration with our external advisers: hiring, payroll input and absence.
  • Reconcile purchase orders, incoming goods and the bill of materials with purchasing and the workshop.
  • Prepare the periodic reporting the founding team decides on, and answer for its accuracy.

What we're looking for

  • Experience running administration end to end in a small company, ideally an industrial one.
  • Comfortable with complex paperwork: public funding, customs documentation, insurance, contracts.
  • Autonomy. Nobody here will hand you a checklist in your first month, and you will write one.
  • Fluency with accounting software and spreadsheets, and the habit of leaving an auditable trail.
  • Based in Seville or willing to relocate.

You will fit here if

  • You would rather build the process than be handed one.
  • Here the calendar is set by production, certification and funding deadlines at the same time, and the order of priority moves. That frustrates a lot of well organised people.
  • You are comfortable telling founders something they do not want to hear, with the document that proves it.
  • Detail is not a chore for you. In a manufacturer, a wrong reference on a document ends up as a part that does not arrive.
